How to reply to a 1-star review without making it worse
Updated 4 November 2026
A 1-star review is the one everyone reads. The aim of your reply isn't to win the argument. It's to show the next diner that you're reasonable, that you listen, and that you'd look after them. Here's how to do that without fanning the flames.
Five ways replies make it worse
- Arguing the facts in public. "We checked the CCTV and you arrived 40 minutes late" might be true, but it starts a fight in front of every future customer.
- Blaming someone. Naming a waiter, the agency staff or the delivery driver makes it look like nobody takes responsibility.
- Accusing them of lying or of writing a fake review. If you believe a review breaks Google's rules, report it through Google instead of saying so in the reply (source).
- Sharing details. Booking names, what they ordered or what they said on the night. Google's tips say never to share a reviewer's private info (source).
- Offering a freebie in public. It can look like you're buying a better review, and offering something in exchange for removing or changing a negative review is against Google's rules (source).
What to write instead
- Thank them, briefly.
- Name the problem in plain words, so they know you've read it.
- Say sorry for their experience. Google's tips suggest admitting mistakes that were made, but not taking responsibility for things outside your control (source).
- One line on what you're doing about it.
- A real email or phone number, and an invitation to get in touch.
- Sign off with a name.

Then follow up
If they get in touch, listen first and try to put it right privately. Google notes that a positive reply and follow-up can show that you care and may encourage the reviewer to update their review (source). Never ask them to change it in return for anything: let them decide.
If it really isn't genuine
Spam, abuse and reviews that aren't about a real experience can be reported to Google. Only reviews that break Google's policies are removed, and Google asks owners not to report reviews just because they disagree (source; Google's content policy). Reply calmly in the meantime.
